Neighbouring farmers, Farmer Jim and Farmer Hugh both had
mouse problems because the mice were eating their stocks of harvested
corn. Farmer Jim resorted to building
the biggest, fastest and best mouse trap that he could design, expecting to
catch hundreds of mice. He ended up with
three dead mice and no corn left.<o:p></o:p></div>

Currently NHS sites can have a mixed email estate of both
Exchange and NHSmail, however this will all change with the introduction of NHSmail2. In the future a NHS email estate will most
likely be either Exchange or wholly NHSmail2, it will not be possible to mix

users, if they decide stay with their on premise Exchange servers and not move
to NHSmail2 then their NHSmail emails will not be accessible. This could present problems to clinicians who

To make NHSmail emails accessible means exporting emails out
of NHSmail and re-importing them back into Exchange by probably using PST
files. PST files have their own set of

we thought of our software product that we’d created and successfully installed
at several large NHS Hospital Trusts.
But then we heard our customer say those dreaded words “it’s very good
but wouldn’t it be nice to have” and our shoulders visibly sagged. <o:p></o:p></div>

They then described a particular ‘pain point’ relating to being
able to find emails in Personal Folders belonging to an ex-colleague who had
left the company. We listened and
implemented what was needed and that’s how our powerful ‘Alias’ searching

Several key IT managers from across a range of NHS organisations came
along to our Mailsafe event last week, to take part in a topical
discussion about migrating to NHSmail in line with the current HSCIC
initiative. The informative event, held at the BMA House on Thursday 23
October, provided us with the perfect platform to discuss any issues
surrounding NHSmail and give a practical demonstration of our Mailsafe
archiving solution.<br />

The IT managers took part in a debate and an interactive question and
answer session, addressing several important areas, such as the new NHS
secure email standard ISB1596, the migration from Exchange to NHSmail
and the solutions to PST files issues. The panel debate also covered
Information Governance and E-Discovery and the impact these have on the
capabilities of the email system.<br />
<br />
The event kicked off with a presentation by HSCIC’s Ian Jones,
providing all of the attendees with a better understanding of the
ISB1596 standard, including the conformance accreditation costs and a
rundown of what is involved in the migration to NHSmail. The Techne-Comm
team followed up, discussing the importance of selecting an email
archiving solution that can address the needs of all NHS organisations
to provide the highest level of retention, searchability and
accessibility required for such a vast amount of sensitive information.<br />

We have had some great, positive feedback following the event. The
attendees got to see the Mailsafe solution in action with the live
demonstration and there were plenty of opportunities for the IT managers
to air their thoughts and engage with colleagues across the
organisation. We are planning to hold further events like this in the
not too distant future, and hopefully we can continue to play our part

When three clinical commissioning groups in Hampshire decided to move
to NHSmail, the NHS South Commissioning Support Unit began
investigating ways to achieve a smooth and effective transition from
Local Exchange to the new email service.</header><header> </header><br />

NHS North East Hampshire & Farnham, Fareham and Gosport, and
South Eastern Hampshire Clinical Commissioning Groups (CCGs) were using a
legacy local email system that used PCT email addresses, which they
were directed by the Department of Health to stop using. After careful
consideration and as a result, all of the CCGs took the decision to move
to the national NHSmail system.<br />
<br />
NHSmail is approved by the Department of Health for the purpose of
sharing patient identifiable data and is the only mail system that is
Government OFFICIAL-SENSITIVE accredited. It has myriad benefits – such
as security, cost-effectiveness, flexibility and resilience – but
features limited mailbox sizes.<br />
<br />
Users of the old system were able to keep emails for any length of
time as there were no restrictions on the size of the mailbox. NHSmail,
however, only allows 400MB of storage space for the majority of users.<br />
<br />
“We realised we needed to resolve this and began looking at options
such as Outlook Personal Storage Files (PSTs) and other hosting
solutions,” said Paul Rogers, senior ICT project manager, NHS South
Commissioning Support Unit. “A lot of these hosting solutions needed to
install a solution on the email server itself, which was not an option
given that NHSmail is a national system. What we needed was a solution
for the client side.”<br />
<br />
Mailsafe from Techne-Comm is the ideal client-side email archiving
solution that also satisfies reduced mailbox storage needs, without
using stubbing or shortcutting techniques.<br />
“After a demonstration from the Techne-Comm team we liked the idea
and general purpose of Mailsafe as it meets all of our requirements,”
Paul Rogers explained. “Some of the existing mailboxes were up to 20GB
in size. One alternative was to migrate the contents to PST files.
However, typically there is a chance that anything over 2GB will be
corrupted, which would lead to data loss even after using recovery
tools. This has significant implications for audit trails, compliance
and even procurement as there is data that simply cannot be lost.”<br />
<br />
In addition, with NHSmail capable of securely transmitting patient
identifiable data and other sensitive information, taking these files
and saving them as PSTs in a network folder removes that level of
security. Mailsafe, however, enables users to retain that security by
archiving relevant data in a secure environment on-premise and only
approved users can access stored information.<br />
“After getting over the initial change of solutions, user feedback
has been very positive,” said Paul Rogers. “We migrated the data from
the old system to NHSmail and Mailsafe with the exact Personal Folder
structure mirrored in the archiving solution. The solution itself is
easy to use and the search functionality is very quick and effective.”<br />
<br />
Mailsafe allows users to manually select files and information to be
archived, or set up rules for automatic archiving. Emails that are
automatically archived are also deleted from the mailbox ensuring that
users always stay within space limits.<br />

As the Clinical Commissioning Group for Cornwall and the Isles of
Scilly, NHS Kernow encapsulates 69 local practices that form 10 GP
locality groups. The group’s principle work is to buy health services
on behalf of local people, from general hospital care such as Royal
Cornwall Hospitals NHS Trust, to mental health care, children’s care or
community health services.

At all public authorities, there is immense reliance and pressure
placed on the group’s IT infrastructure, in particular the email system
which is shared across the entire NHS Kernow network. Due to the nature
of the business, issues surrounding mailbox size and archiving are an
ongoing challenge for any email system. NHS Kernow recently took the
decision to move away from Groupwise email and, at the same time,
incorporate a proven, robust solution to tackle all of its email
archiving requirements.<br />
<br />
The group’s existing email system was coming to the end of its life,
which had led to a multitude of users creating a large set of PST files –
Outlook data files commonly used as a mechanism for message archiving
or for avoiding mailbox quotas. NHS Kernow typically had PST files saved
twice per user – once on their computer’s local drive and once on the
user’s home drive on the central server.<br />
<br />
The problems with the use of PST data files have been well
documented. One of the major difficulties is that they are prone to
corruption, the original PST file format had a 2GB limit and corruption
could occur if the file grew beyond this size. PST files that are stored
in locations where they might be accessed by more than one user at a
time are particularly problematic, as would have been the case at NHS
Kernow. Alongside the potential to cause data loss and compliance
issues, PST files also pose a significant challenge in the mail search
process.<br />
<br />
Due to several ongoing issues, NHS Kernow decided to upgrade its mail
system to a solution used by health departments nationwide, NHSmail.
This centrally hosted secure email system is unique to the NHS and has
more than 600,000 active users. It is seen as the most cost-effective
email option for NHS organisations as it is secure enough to email
patient records, yet it removes the need for expensive servers and
hardware on site. One of the challenges with NHSmail, however, is the
mailbox size quotas for the majority of users. At 400MB per mailbox it
encourages users to archive their emails using PST files, which again
raises the issue of storage problems.<br />
<br />
Paul Jacka, IT strategy lead for NHS Kernow and primary care Cornwall
and the Isles of Scilly stated: “NHS Kernow had experiences of
corrupted PST archive files of several key mail accounts which impacted
on our ability to provide a swift, efficient and professional response
to queries. Some of the organisations’ PSTs were 10GB in size due to the
vast communications and audit required within legal, communications,
contracts, finance and executive teams.<br />
<br />
“NHS Kernow required an enterprise solution, efficient,
cost-effective and easy to install, manage and use. Due to NHSmail about
to be upgraded or replaced nationally the only guaranteed constant was
our client access, so we needed the solution to work today on our client
(Outlook 2010) and to remain working with any future client releases.”<br />
<br />
With 69 primary care practices all migrating from GroupWise to NHSmail
and Outlook 2010 NHS Kernow also needed a solution for every site, in
order to ensure they also benefited from the system.<br />
“One major area of concern was the ability to search for emails,
easily, swiftly and not for this to lock out our client access whilst
the search was happening. NHS Kernow chose Mailsafe as this product
matched all our specifications and the support for installation and
training has been exemplary. The ability to search thousands of emails
and return the results in a couple of seconds was the ideal solution we
required.<br />
<br />
“In addition, the ability for a PA to have ‘alias’ access to the
executive’s archives was a very welcomed, unique and valued bonus when
we started testing and evaluating solutions,” said Jacka.<br />
Mike Freeman, Sales Director of Techne-Comm Ltd, explained: “NHS Kernow
migrated its users to the main NHSmail service and were also looking for
a solution to manage their emails without users filling up their
NHSmail mailboxes to their quota limit. They also wanted a solution that
wouldn’t involve creating more PST files for those emails that had to
be kept. The group was also interested in knowing exactly where the
original PST files were located so they could be imported into a central
archive. This would overcome the storage problems and offer a more
efficient way of locating these difficult-to-access emails.”<br />

The group selected Techne-Comm’s Mailsafe solution for its 250 users,
a solution that is already in use in a number of NHS Trusts and
Departments. Mailsafe is a single instance email archiving software
solution that interfaces with Outlook for NHSmail and is unique because
of its user side email archiving feature. It does not use outdated
stubbing techniques and enables emails to be selected by the user and
then securely archived ‘on site’ whilst guaranteeing privacy.<br />

In every area of the NHS there is the potential for frequent Freedom
of Information requests and the possibility of litigation issues so it
is vitally important for these departments to be able to find and locate
documents easily, including emails. Mailsafe enables fast searching,
finding and viewing of archived emails via an integrated toolbar in
Outlook, which meets both user and administrator demands.<br />

Freeman said: “One key feature that NHS Kernow really values is the
Mailsafe “alias” feature which will allow a user’s archived emails to be
accessed by others, for example, when an employee is sick or has left
the organisation, or a PA to a Director. Retention of the user’s
Personal Folder structure in the Mailsafe archive was also key to the
group, making it easy for users to adopt the solution. Also, the
automatic archiving feature meant archiving could be handled
automatically to ensure users stayed within their NHSmail quota.”<br />
<br />
In addition to the current sites, NHS Kernow has also purchased a
further 2000 user licences for its 69 main GP practices and a further 70
branch sites. Roll out to these GPs will begin later this month.
Mailsafe’s largest installation in the NHS to date is in excess of
19,000 mailboxes.</div>
