Automatic Email Archiving can reduce user Mailbox sizes by an average of 60-70% when it is configured to ‘sweep up’ emails to the ‘on site’ email archive that are older than 3 months. A copy of the email will be archived and the email in the user’s Mailbox will be ‘hard deleted’, ensuring a lean Exchange infrastructure and increased storage savings per Mailbox.  All archived emails will still be accessible to the user from Outlook via Mailsafe’s enhanced search facilities.

Another benefit of Automatic Email Archiving is that it eliminates any need for the use of PST Files. PST files have too many drawbacks to outweigh the short term gain of reducing Mailbox sizes. Emails stored in PST files can’t be shared or accessed remotely, are rarely backed up if they are on local PCs and are prone to corruption. Automatic Archiving enables emails to be swept up to the archive, avoiding any of the complications associated with PST files.

As soon as Mailsafe is installed, automatic archiving can start sweeping up emails to the archive and reducing mailbox sizes immediately. It can be used in conjunction with Mailsafe’s Compliance feature that will ensure all emails coming in and going out of the business are archived. All emails are archived using AES256 bit encryption to safeguard the original emails from editing. So if an employee or business dispute was conducted via email, all of the original emails would have been captured in the archive and easily searchable within seconds.

To help reduce licence costs for your business, Mailsafe facilitates the removal of leaver or ‘dead’ mailboxes as all emails can be swept up into the archive allowing the mailbox to be removed.
Email Exclusions can be configured to exclude emails with text in the subject line (e.g. Out of Office), full email addresses, domains and certain attachment file types. This guarantees that the emails containing zero business value are not archived keeping storage costs down.

So, not only does Automatic Email Archiving result in reduced storage costs and a leaner Exchange environment, it reduces backup costs, removes the need for PST files and the problems associated with them, it ensures emails are securely archived for audits or information governance requests and gives the Exchange administrator full control of what gets archived.
