Deleting emails out of
NHSmail to ‘free up space’ to keep below the quota limitation can be a bit of a
‘hit and miss’ affair. What to keep and
for how long, is this email likely to be important in the future are the types
of questions that often get raised when making the decision to delete or
not. Of course you can get these
decisions wildly wrong because you don’t have a crystal ball and don’t know
what issues will arise in the future.
A far better solution is to
use an email archiving system with no size limitations that enables you to have
a ‘virtual extension to your NHSmail mailbox’ enabling you to keep below the
NHSmail mailbox size quota limit. Emails
are moved to a secure email archive and then deleted from NHSmail. Archived emails are accessible from an Outlook
toolbar ‘add in’, so that as and when required they can be searched for and
viewed. If necessary a copy of any
archived email can be returned to the user’s Mailbox.
